Privacy Policy

Equipt (“we,” “us”) is an operations architecture firm based in the Greater Toronto Area, Ontario, Canada, owned and operated by Shanay Smith. This policy explains what personal information we collect, how we use it, and the choices you have. We follow Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
What we collect
When you fill out our form: your name, email address, business name or website, and the answers you choose to share about your business.
When you book or attend a session: the details you provide when booking, and the content of our conversations. Diagnose sessions are recorded so nothing gets missed. We’ll always tell you before a session is recorded.
When you become a client: information needed to deliver our work, such as contact details, billing details, and access to the business tools and accounts you choose to share with us.
When you visit our website: our website host may collect basic technical information, such as your browser type and the pages you visit, to keep the site running and understand overall traffic.
We do not collect payment card numbers. Payments are made by direct invoice.
How we use it
We use your information to:
respond to your inquiry and decide together whether we’re the right fit
schedule and run our sessions
prepare proposals, reports, quotes and invoices
deliver the work you’ve hired us for
keep records required by law
We do not sell, rent or trade your personal information, and we do not use it for advertising.
Who we share it with
We share information only with trusted service providers who help us run the business, and only what they need. These include our website host (Framer), our email, calendar, video and file storage provider (Google Workspace), our design and document tools, and AI assistants we use to help prepare proposals and reports. When a project calls for specialized work, a contractor from our network may see the information needed for that work, under the same confidentiality expectations we hold ourselves to.
Some of these providers store data outside Canada, including in the United States. When that happens, your information may be subject to the laws of that country.
We may also disclose information if required by law.
Your business information
When you give us access to your systems, accounts or data, we treat everything as confidential. We use it only to do the work you’ve hired us for. Your accounts remain registered to your business, and you can remove our access at any time.
How long we keep it
We keep inquiry information for up to two years in case you’d like to pick up the conversation later. We keep client records for as long as Canadian tax and business laws require. Session recordings are kept only as long as needed to complete your engagement, then deleted. When information is no longer needed, we delete it securely.
How we protect it
We use reputable, secure providers, limit who can access your information, and protect our accounts with strong passwords and two-factor authentication. No system is perfectly secure, but we take reasonable steps to protect what you share with us.
Your choices
You can ask us to:
tell you what personal information we hold about you
correct anything that’s inaccurate
delete your information, unless we’re required to keep it
stop contacting you
Email privacy@builtbyequipt.com and we’ll respond within 30 days. If you’re not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.
Changes to this policy
We may update this policy from time to time. The “last updated” date at the top will always show when it last changed.
